Central applications and functions

Xtos contains modules and functions you can use to manage your terminal processes quickly and efficiently. Using these highly-efficient software solutions will make daily work easier, reduce errors and create free resources.

Mobile Devices

These devices connect the relevant databases quickly and effectively carry out the current process.Xtos supports the following terminal processes, also known as apps:

– Inbound; incoming goods are scanned and marked as compliant/non-compliant

– Put-away pallets; pallets are scanned and entered in the IMS

– Stuffing containers; pallets are stowed in containers (they left the IMS shortly before)

– Outbound; analogous to unloading but for outgoing goods

– Put-away containers; containers are scanned and placed in the target location – this location is also stored

– Re-location; the goods (and also ro-ros and containers) are moved from storage location A to storage location B – which is tracked/saved by this app

– Outbound containers; a barge is loaded with a certain number of containers

– Free loading; only the goods prepared for loading are loaded here

– Container sea in/out; unloading and loading containers from/onto a container ship

 

Checklists

Checklists are a valuable tool that can help make certain processes at the terminal more effective and avoid errors. With Xtos, templates for checklists can be created to ensure that all required documents and steps are reviewed during specific processes. This improves the efficiency and quality of processes.
In terminal operations, checklists can be particularly useful for improving efficiency and accuracy in container handling and other operations. By using checklists, employees can ensure that all necessary steps and safety protocols are followed to minimize the risk of errors and accidents.
Bottom line: checklists, when used in conjunction with Xtos, can help develop more efficient and safer workflows. They help improve the quality and consistency of processes and reduce the risk of errors and accidents.

Intelligent process management

Xtos automatically recognizes relevant events and sends all the necessary information and documents independently to the right partner, customs offices or port authorities (event-driven processes). Example: Sending an EDI (FACT) message CODECO, COARRI or comparable. All events are logged automatically. What happened within a process and when can be traced at any time.

All-in-one goods handling

All-in-one handling – one order in Xtos is set up with one main feature of goods-in or goods-out and is automatically recognized as such by the terminal. The necessary data is exchanged and subsequent processes are initiated automatically.

Rate management

Your entire rate management system will be integrated into our Terminal Operation System. The rate structure enables the definition of supplier-specific validities, price scales and dependencies. This provides the basis for automatically generating your costings and invoices. This saves time and reduces the number of faulty invoices.The Xtos rate structure is easy to use and enables up to five different rate groups for different price groups and quantities (scales). Rate options can be defined for both specific customers or goods as well as for customer groups.

 

Transport Management System

The transport process involves several key functionalities to streamline logistics. It begins with defining Loading Places in the Shipping Tab of the Order or Order Group. A Transport Schema is then generated, outlining key stages like Gate-In and Gate-Out; this can happen manually or automatically as needed. The planning functionality creates Transport Headers and Legs for each order, organizing the transport workflow into a Transport Dashboard. Status management tracks progress, allowing transport to be planned when conditions are met. Execution involves finalizing transport details, such as entering actual dates, with the system automatically managing multiple legs. Additional features include options for direct Transport Order Groups and mode-specific planning, such as for trucks or barges.

 

 

Direct goods transfer

Directly loading or unloading ships onto the collecting or delivering modes of transport (truck, train, etc.) is organized by Xtos without taking into account the Inventory Management System (IMS). This process is significantly accelerated because complex temporary storage is also avoided in the system. Xtos also enables goods to be handled in any packages via any transport routes and modes.

Calculating storage rent

Xtos automatically recognizes and calculates the point in time and conditions for calculating storage rent. These costs depend on factors such as the quantity, the storage location, free days and, of course, the duration. The calculation in Xtos is based on the Inventory Management System (IMS) Rates are completely integrated. This means they can also be defined for different storage conditions, taking into account free days for different transport directions (import/export).

Warehousing

Xtos works according to the principle of “stock-keeping units.” It registers and tracks movements of goods not only at the physical but also at the commercial level. The process runs simply, but ingeniously. The system registers stocks according to one basic unit (UoM) together with the costs per unit when goods come in and debits the warehouse using the same principle when goods leave.The sources of errors are often unclear. Are your goods stored in the wrong container or warehouse location, the wrong warehouse? Wrong input? Change of owner? Or maybe you just want to change the status of goods that have already been registered? We give our answer with the “goods manipulation” function we developed in-house”. Manipulations can change the status and properties of stock entries, even if the goods have already been recorded. An important function for companies where human errors are difficult to avoid.

Accounting included

Xtos contains a complete accounting system certified for most industrial states with all the advantages of Microsoft Dynamics NAV/ Business Central. Consequently, Xtos does not need any additional interfaces to import invoices, documents or master data. When developing our solution we took into account all the main functions that are important for the accounting of a logistics company.

Digital Invoicing

Digital Invoicing or E-Invoicing offers numerous advantages. Automatic invoicing in Xtos enables companies to shorten their invoicing process cycles and optimize their communication in a paperless manner. This leads to a significant reduction in staff time and effort and a significant cost saving.
In addition, Digital Invoicing enables time-loss-free delivery and sustainable organization of inter-company communication. Companies can track the status of their invoices in real time, giving them greater control over their finances. The use of encryption technologies and authentication methods also ensures data security.
Conclusion: Digital Invoicing offers significant added value by streamlining the invoicing process, reducing costs and increasing traceability and security.

 

Containers

Administering containers is not the easiest task. In order to make this possible and to simplify it, Xtos uses many functions that make the process clear. We have implemented both the Container Management System (CMS) and the Container Freight Station (CFS).
A Container Management System (CMS) supports the monitoring, planning, and optimization of processes such as container storage, handling, gate-in/gate-out, and inventory management. A CMS ensures the efficient coordination of all container-related operations and significantly contributes to reducing downtime, costs, and operational risks.

Container Freight Stations (CFS) + Yard Planning

CONTAINER FREIGHT STATION (CFS)

serves as a central hub in container logistics, designed specifically for handling less-than-container loads (LCL) and full-container loads (FCL). At a CFS, goods are packed (stuffing), unpacked (stripping), and consolidated or deconsolidated as required.

Examples:

  • LCL-to-FCL: Palletized goods are collected, loaded into empty containers, and transported as FCL.
  • FCL-to-LCL: Full containers are unloaded, and the goods, such as vehicles, are redistributed individually (e.g., using the RoRo process)

In combination with a Container Freight Station (CFS), Xtos enhances terminal processes by streamlining inventory management.

 

YARD PLANNING
Yard Planning concerns the planning and coordination of vehicles, containers and goods on a logistics site. The yard planning tools in Xtos ensure maximum transparency at the terminal.
The yard planning tools in Xtos enable the location of vehicles, containers and goods to be monitored in real time. You always know what is moving on the site and how busy the terminal is.
Personnel and machinery can be assigned more quickly and efficiently. Misallocations, delays and losses are avoided. The time saved also raises the service level here to a new level and leads to significant cost savings.

DigiCOUNTER - electronic registration counter

DigiCOUNTER is an electronic registration counter installed on a terminal to simplify and speed up the registration and deregistration processes. Especially in the field of truck transport, it is important to minimize waiting times and to make the data exchange between drivers and Xtos as fast and transparent as possible.
With the electronic ticketing system in DigiCOUNTER, the registration process for truck drivers is greatly simplified. Thanks to full integration with Xtos, logon data is transferred directly and securely to the system. Waiting times are significantly reduced through secure authentication. The driver receives an electronic ticket that is automatically created in Xtos and used throughout the terminal process.
Conclusion: DigiCOUNTER in combination with Xtos is an efficient and transparent solution for logon and logoff processes at the terminal and enables fast and secure authentication of drivers and vehicles entering or leaving the terminal. In addition, DigiCOUNTER reduces waiting times and optimizes and accelerates data exchange between the terminal and transport participants.
The Certified Pick up (CPU) platform, in combination with DigiCOUNTER and Xtos, significantly enhances the efficiency and security of container handling at terminals. By replacing traditional PIN-based systems, CPU offers a transparent, ID-based process that optimizes container release and tracking.
